UK Fleet Champion Awards - "Highly Commended"

The UK Fleet Champions Awards aim to give recognition to the many exciting developments in their industry sector and as such we are proud to see our app be Highly Commended for the two categories of:

Fleet Safety Innovation Award - Celebrating the hard work and dedication of companies who have created innovative products / guidance in order to improve fleet safety.

Fleet Safety Product Award - This award celebrates products created and used by fleet organisations in order to reduce road deaths and injuries caused by work vehicles.

General background on Good to Go Safety/TakeAIM and its activities.

Good to Go Safety design, manufacture and supply checklist and tagging systems to enable pre-use inspections of a wide range of workplace equipment (including fleet vehicles). Our paper based systems have won numerous awards over the past decade and helped thousands of companies to improve their safety and maintenance protocols, with close to 4 million checklists used during that time.

In 2019 we identified the need to add a digital version of the checklist systems to further improve customer benefits whilst also reducing costs to them. The launch of the TakeAIM app had been impacted by COVID but uptake remains healthy and those using the system have been quick to say how beneficial it is proving – helping to improve their maintenance and safety processes and allowing better analysis and understanding of their results.

We are a small manufacturer in Fife with big ambitions as we try to improve fleet management – regardless of the size of the organisation – the TakeAIM app is suitable for small companies with just a handful of vehicles to large multi-nationals with thousands of vehicles. We know our paper based systems have proved invaluable to many and believe that our digital alternative will prove even more popular.

An overview of the TakeAIM system - what it is and why it is needed?

We’ve offered a fleet vehicle checklist in paper format for many years and it has proven a useful tool for fleet managers who issue drivers with a book of checklists for them to complete before driving each day. The system has always worked well however it has always been reliant on the driver being honest with their activities and handing in their completed checklists to management when back at the office. Our new digital TakeAIM system allows management to set up a register of vehicles and assign drivers to them. A QR code can be assigned to and placed inside each vehicle – which, when scanned automatically opens the correct checklist for that particular vehicle. The inspector can then run through the checklist using the TakeAIM app on their smartphone – confirming each check has been completed and advising of any concerns. They can add photos/comments as they go and once completed the checklist is immediately visible to management via a company dashboard on their PC.

This enables management to make instant decisions – bringing in spare parts and planning maintenance – saving time and money. Management can also analyse inspections to see how long each step of the inspection is taking (identifying anyone simply ticking boxes) and they can create maintenance logs to track the fault from being identified to being fully remedied. The system is not limited to fleet vehicles – it can also be used for any workplace equipment – from forklifts and trailers to HGVs, pallet trucks and they can create their own checklists from scratch – making it a total solution for asset maintenance/management across the whole organisation. By spotting potential faults early it helps improve driver safety, allows planned (rather than reactive) maintenance and reduces the amount of time a vehicle may be off the road – improving efficiencies and saving money.

The advantages of going digital are numerous – having the app on the driver’s phones mean they always have the checklists with them – it means management know if/when an inspection has been missed and having real-time visibility of all inspections (with photographic evidence) it allows informed decisions to be made by management in terms of planning maintenance. The time stamped checklist removes any doubt that the inspection has been completed correctly.

Tangible results - Demonstrate how effective the TakeAIM app can be:

Using the analytics that we offer to company management we can view and analyse the data for all users and can select which equipment type and what status has been raised. Looking purely at data for vehicles I am able to see that from the thousands of inspections completed, to date there had been 76 major faults identified that has led to the vehicle being quarantined until the fault was fixed (faults may include flat tyres, brake faults, oil leaks etc). In addition we can see that a total of 973 advisories have been raised – this may be where a concern has been logged but that the vehicle was still considered road-worthy at that moment in time (this could include anything from scratched bodywork to running low on fuel etc). Although we don’t know for sure I would expect that without carrying out these pre-drive checks that the major faults may have gone unnoticed and a potentially dangerous vehicle would have taken to the road. Likewise we know that the majority of those raising an “advisory” were rectified immediately (eg topped up screen wash/petrol etc) or that maintenance was planned at a convenient time by their management team.

Obviously the more take-up of the system we see the better these results will provide and the better analytics can be drilled into. This type of data analysis is available to the management team via their own dedicated company dashboard, giving them essential insights into how their drivers and equipment are performing and helping to spot recurring trends/patterns to further improve efficient fleet management. What can’t be denied is that the system certainly helps to improve the quality and accuracy of inspections and helps to improve safety in the process.
